What a shared inbox costs you
A shared inbox is not a support system. It is a queue with no ownership, no priority, no service level and no memory. Three things follow from that, and all three cost money.
- Repetition. The same questions get researched and answered from scratch, by different people, every week.
- Invisibility. Nobody can say how long resolution actually takes, which customers are raising the most issues, or which problems keep recurring.
- Late warning. Complaints are not linked to the commercial record, so retention risk surfaces after the customer has already decided to leave.

Triage and route
Incoming requests across email, portal and WhatsApp are classified, prioritised and assigned an owner automatically, with the customer record and history attached.
Answer the repeated questions
An approved knowledge base handles the questions that make up most of the volume, on controlled channels with defined handoff rules. It answers from approved content rather than improvising, which is the difference between a useful support agent and a liability.
Escalate properly
Complex or sensitive cases route to a person with the full history attached, so the customer does not have to explain the situation again. Overdue and high-value cases surface before they breach.
Make it measurable
Response and resolution times, issue patterns by customer and by product, and retention signals linked to the commercial record so the account team sees a problem while it is still fixable.
Portal or platform?
Two routes, and the right one depends on what you already run.
Configure what you have. If you already own HubSpot Service Hub or similar, the answer is usually to configure it properly rather than build anything. That is the cheaper and faster route and we will say so.
Build a portal. Where you need a customer-facing service portal that fits your operation rather than a generic product, we build on a production platform foundation we have already deployed elsewhere. That is what takes it to roughly 8 weeks to live rather than the 16 to 20 a ground-up build would need. There is no annual licence to us, and hosting sits in your own tenant at your own rates, which is usually where a per-seat SaaS product stops making sense at volume.
Fixed scope and a fixed fee, on 20/30/50 milestone terms. No platform licence from us, and you own the cloud tenant it runs in. Where the shape of the work is not yet clear we start with a fixed-price discovery that converts into the build price.

Yes, and they should. We do not build systems that pretend to be a person. The agent handles approved questions transparently and hands to a human the moment the case needs judgement.
